The Day Is Decided Before Six in the Morning

Sorting starts in the dark. Routes are built, manifests are pushed to handhelds, vans are loaded, and by the time most businesses are opening their laptops the day’s outcome is largely fixed.

Which means an IT problem at 05:00 is not the same as an IT problem at 15:00. A depot that cannot sort and load does not catch up later — it loses the routes. And a support contract that opens at nine is, for that operation, no support at all.

Warehouse Wi-Fi Is Not Office Wi-Fi

The single most common complaint we hear is scanners dropping mid-load. It is almost always a design problem.

A warehouse is actively hostile to wireless. Steel racking reflects and blocks. Stock levels change the RF environment week to week. Loading doors open onto open yard. Metallised packaging absorbs signal. A survey done in an empty building on a quiet afternoon predicts almost none of this.

We design for the loaded building and the real operation — the routes people walk, the loading bays, the yard edge where drivers still need a connection — and tune roaming so a handheld hands over cleanly between access points instead of clinging to a distant one and timing out. The visible symptom is a scanner dropping; the actual fault is usually a floorplan-based design.

Handhelds Need a Lifecycle, Not a Cupboard

Handheld fleets tend to grow by accretion. Devices arrive with a project, get configured by whoever is nearest, and are then managed out of a drawer of spares that slowly empties.

The consequences show up predictably: no consistent build, shared logins, no patching, and no way to wipe a unit that goes missing with delivery data on it.

We treat the fleet as an estate:

Peak: Plan the Unwind, Not Just the Ramp

Peak is the most predictable event in your calendar, which makes surviving it by improvisation an odd choice.

Ahead of the ramp we provision devices from a known image, create accounts against a defined access template, and pre-stage spares so a dead handheld at five in the morning is a two-minute swap. That part most operators expect.

The part that gets skipped is January. Dormant accounts with live access, devices that never came back, and temporary logins nobody owns are exactly the loose ends that surface later — in an audit, in a Cyber Essentials assessment, or in an incident. We plan the unwind as explicitly as the ramp.

The Data Question Nobody in This Sector Has Answered

Delivery operators consistently underestimate how much personal data they hold, and this is the area where we find the least existing work.

Consider what a normal week generates: driver location traces, telematics and driving-behaviour scores, dashcam footage of drivers and of the public, photographs of doorsteps and sometimes of customers, plus recipient names, addresses, phone numbers and delivery instructions.

All of it is personal data under UK GDPR. The telematics and camera footage is also employee monitoring, on which the ICO has published specific guidance.

The practical obligations are manageable, and the common failure is always the same one — retention. Footage and tracking history kept indefinitely because no policy was ever set. What good looks like:

  • A clear, documented purpose for each category of data
  • Defined retention periods, applied automatically rather than by intention
  • Restricted access to footage, with a record of who viewed what
  • Transparency with drivers about what is monitored and why
  • The ability to answer a subject access request without a manual trawl

This is not a compliance ornament. Where cameras and tracking are used in employment disputes — which is often — the strength of your position depends on whether the data was handled lawfully in the first place.

Integrations Fail Silently

Carrier and retailer integrations rarely break with an error. A partner ships a release, a field name changes, and consignments simply stop arriving. Every system reports itself healthy. You find out from the client.

We monitor the flow rather than the connection: consignments not received inside an expected window, error rates climbing, queues growing. The alert reaches you before the complaint does — and when the fault is on the partner’s side, having the evidence to hand shortens that conversation considerably.

Cyber Essentials, Because Your Clients Now Ask

Retailer and 3PL contracts increasingly require Cyber Essentials before work is awarded. It is a five-control government-backed baseline, and in a depot environment the gaps are usually the same three: unmanaged handhelds, shared logins on shop-floor terminals, and unpatched PCs attached to sorting or labelling equipment.

We assess against the scheme, close the gaps and support certification. If you take card payments on delivery, PCI-DSS obligations sit alongside it and we scope both together.

We run the infrastructure your operation depends on — depot networks, handheld and driver device estates, connectivity between sites, cyber security, backup, integration monitoring and day-to-day support inside your real operating hours.

We do not select or tune your route-optimisation model, and we do not resell telematics hardware. Those are operational and commercial decisions that belong with you and your specialist vendors; we make sure the technology underneath them is reliable and secure.

Frequently asked questions

Our scanners keep dropping connection in the warehouse. Is that fixable?

Almost always, and it is usually a design problem rather than a hardware one. Warehouses defeat standard Wi-Fi planning: steel racking moves as stock moves, shutters open and close, and metallised packaging reflects signal in ways an empty-building survey never shows. Half our drivers are subcontractors using their own phones. How do we control that?

You control the access, not the phone. Trying to manage an owner-driver's personal handset is a fight you will lose and probably should not pick. The workable model is to make the ePOD application the boundary: access tied to an identity you issue and can revoke, data held in your systems rather than on the device, and no persistent copy of customer detail left behind when a driver stops working with you. That way offboarding is one action, and a subcontractor leaving does not mean an unknown quantity of delivery data leaves with them.

Do we really need to worry about GDPR? We're a delivery company, not a hospital.

You process more personal data than most operators realise, and it is the least-assessed area we see in this sector. Driver telematics and tracking is employee monitoring. Dashcam footage captures drivers, other road users and passers-by. Doorstep delivery photographs frequently capture the customer's property and sometimes the customer. Recipient names, addresses, phone numbers and delivery notes are all personal data. The ICO has published specific guidance on monitoring workers, and the practical requirements are not onerous — be clear about what you collect and why, retain it for a defined period rather than indefinitely, restrict who can view footage, and be able to answer a subject access request. Most operators fail on retention: footage and tracking history kept forever because nobody set a policy.

A retailer is asking for Cyber Essentials before they'll award us the contract. How quickly can that happen?

This is now one of the most common reasons operators call us, and it is achievable on a sensible timescale provided the underlying controls are in place. Cyber Essentials covers five technical areas — firewalls, secure configuration, access control, malware protection and patch management. In a depot environment the usual gaps are unmanaged handhelds, shared logins on shop-floor terminals, and unpatched machines attached to sorting or labelling equipment. Our integration with a retailer's API broke and we only found out from their complaints. Can that be prevented?

Yes, and the fix is monitoring the flow rather than the connection. Integrations rarely fail loudly.
